PTO tracking for remote teams starts with a shared plan
PTO tracking for remote teams connects exact leave dates, async approvals, and coverage across locations. Keep the employee's local holiday calendar distinct from the organization's announcement time zone so a request and the daily availability post don't get mistaken for the same clock.

Start with the work that crosses locations. If the only person who can finish a handoff is observing a local public holiday, an otherwise quiet week can still leave a project waiting.
Give time off tracking for distributed teams a clear owner¶
Use dated requests and named approvers so a decision can move without a live meeting. Write the actual start and end dates instead of “next Friday,” and keep the handoff with the request. The person reading it later should know which work needs cover and whether another approval step still follows.
Agree on the employee's intended working dates before interpreting a request across offices. A vacation request is a date range, while an approval message has a delivery time; those serve different purposes.
Ask for a practical handoff note: which queue or project needs attention, who has agreed to cover it, and where the instructions live. A teammate's name in a note isn't evidence that they are scheduled or available in their own location.
Build the remote team vacation calendar around real locations¶
Create a holiday calendar for the location where someone works, then review the actual dates the business observes. A country name is a starting point, not a complete office schedule. Regional differences and company closures can affect the handoff even when everyone shares the same department and the same chat channel.
In Cabana, Settings → Holidays lets an admin create a calendar with Calendar name, Year, and Location (optional). Leaving location blank creates an organization-wide calendar. Keep a company-wide closure distinct from a local public holiday so the intended scope is clear.
Cabana counts request working days using organization-wide holiday calendars plus the employee's own location's calendars. Holidays assigned only to another location do not reduce that employee's leave deduction.
Use the team calendar's department filter to review approved absences alongside each office's schedule when planning cross-location coverage.
Copy this distributed holiday coverage plan¶
Plan one month at a time with the official holiday lists and the company's chosen office schedules beside you. Mark which location is unavailable, then name the location handling each shared responsibility. The table is a planning example for a team that adopts the listed dates, not a statement that every private employer closes.
Sample month: November 2026. Checked October 27, 2026. The US site follows the federal reference list; the UK site is in England and Wales; the India site adopts the India Post list for this example.
| Date | Official reference | Office schedule in the example | Coverage action |
|---|---|---|---|
| Sunday, November 8 | India: Diwali | Already a non-working Sunday in the example | Confirm the actual office schedule; don't invent a Monday closure. |
| Wednesday, November 11 | US: Veterans Day | US team off; UK and India scheduled | Assign the customer queue to available colleagues. |
| Tuesday, November 24 | India: Guru Nanak's Birthday | India team off; US and UK scheduled | Complete the India-to-UK handoff before the break. |
| Thursday, November 26 | US: Thanksgiving Day | US team off; UK and India scheduled | Name the release or support owner outside the US. |
| Throughout the month | England and Wales: no November bank holiday | Normal scheduled weekdays unless someone books PTO | Review those PTO requests alongside the other sites' closures. |
If the UK employee works in Scotland, the same government list includes St Andrew's Day on Monday, November 30. Use the relevant nation's calendar rather than copying the England-and-Wales row to every UK employee. GOV.UK source.
Treat an optional Friday-after-Thanksgiving company closure as its own decision. It isn't another federal holiday on the OPM list, and an employee shouldn't have to infer whether their office has adopted it.
Check the handoff before approving extra leave¶
Count the qualified people scheduled for the work after local closures, then evaluate the proposed PTO. A shared calendar helps expose the overlap; the manager still needs to know who can perform the task. A headcount rule alone can't tell whether the remaining people can authorize payments or handle the on-call queue.
Suppose two qualified people work in each country and the shared service needs four available. On November 24, the two India colleagues are off, leaving four. Approving another UK colleague's vacation would leave three, one short of the example's coverage need.
Arrange a trained substitute or another service plan before approving those dates. That is a planning decision based on this team's requirements, not a universal rule that a particular fraction of remote staff must always remain online.
Make announcement timing explicit¶
Choose an organization time zone for the shared availability post and tell employees what that means locally. A scheduled post should help the team orient itself, not imply that every office has just started its morning. Use an on-demand check when someone needs an answer before the shared post arrives.
Cabana's Out today and Monday digest use the organization's time zone, not each employee's local zone. They run during the configured organization's morning scheduling window and skip empty lists.
For an organization using New York time, the 9 a.m. scheduling reference on November 24 corresponds to 2 p.m. in London and 7:30 p.m. in India. That conversion illustrates why the same post isn't a morning briefing everywhere; it isn't a delivery-time guarantee.
Use async approvals without losing the decision¶
Keep the assigned decision with the request so employees can see the outcome when they next come online. A manager can review the dates and handoff note, check coverage, and record the answer without arranging a meeting across time zones. The final decision should be distinguishable from an informal message saying the dates look reasonable.
In Cabana, Slack and Teams approvers receive Approve, Deny, and Open in Cabana. Email approval links provide another way to decide without signing in. Approved full-day leave can route a manager's incoming approvals to a delegate or up the reporting line.
Employees can use /pto whosout in Slack or whosout in their private Teams chat between scheduled posts. Google Calendar and Outlook can subscribe to a private read-only feed; it is a subscription, not two-way sync, and the calendar app chooses when to refresh.
Use Cabana for the shared request record¶
Choose Cabana to connect remote employees' requests, manager decisions, and approved dates in the tools the team already uses. PTO tracking in Slack and PTO tracking in Microsoft Teams are complete options backed by PTO tracking software for small teams.
Use the holiday-calendar guide, Team vacation calendar, and Vacation policy best practices for the planning process. One plan costs $4 per user per month, with a $20/month minimum. Try it free for 30 days with no credit card.
Frequently asked questions
Which time zone does Cabana use for announcements?
Cabana uses the organization's time zone for **Out today** and **Monday digest**, rather than sending a separate local-morning post to every employee. Tell the team which clock the shared post follows. Employees can use the who's-out command between posts when the organization's morning arrives later than their own workday starts.
Can different locations have different holiday calendars?
Yes. An admin can create calendars tied to locations in **Settings → Holidays**, with an organization-wide option as well. Name the calendar, choose its year, and select the location. Review the dates each office actually observes, including regional differences and company closures, before using the calendar to plan cross-office coverage.
Can remote employees request leave without opening the web app?
Yes. They can use `/pto request` in Slack or send `request` in their private Cabana chat in Microsoft Teams. Both native forms collect leave type, dates, and a note. Use the web form for additional options such as half days and coverage contacts, and keep the handoff instructions specific to the work being covered.
Does the UK have one public-holiday calendar?
No. GOV.UK publishes separate bank-holiday lists for England and Wales, Scotland, and Northern Ireland. The November example uses England and Wales; Scotland's November 30 bank holiday changes that location's plan. Match the employee to the appropriate calendar and the office's adopted schedule instead of using a generic UK-wide assumption. Source.
Does a shared calendar guarantee enough coverage?
No. A calendar shows dates; managers still need to identify qualified people and the work that requires them. Review local closures and approved PTO together, then confirm the backup's availability. A headcount limit can support the process, but it doesn't know which remaining person can complete a specific handoff or authorize a task.
Will editing Outlook change a Cabana request?
No. Cabana's calendar feed is a read-only subscription, not two-way sync. Make request changes in Cabana; cancel and submit new dates when plans move. The subscribed Outlook or Google Calendar view reflects approved records when that app refreshes, so use Cabana for the current decision rather than assuming the external copy updated immediately.
