Posted each morning, plus a Monday digest of the week ahead. Names only — no notes or balances.
The employee gets a clear outcome, and the request stays connected to the balance and calendar. For a manager who handles approvals between meetings, that's the useful part: the decision doesn't need another round of “did you see my message?”
Make the decision from the request message¶
Use the message for the decision and the team calendar for coverage. Cabana sends the assigned approver New PTO request from [employee name], with the leave type, dates, day count, and any note. The actions are Approve, Deny, and Open in Cabana in both Slack and Microsoft Teams.
The Slack request arrives in a DM. The Teams request arrives as a card in the manager's personal Cabana chat. Open in Cabana takes you to the web request page when you need more detail.
For example, Alex requests Vacation for November 5–6 with the note “Sam will cover the inbox.” The message shows Days: 2, assuming both dates are working days. It doesn't show Alex's remaining balance or the coworkers already booked off; review those separately before deciding.
Before you click Approve: a four-point checklist¶
Run the same short check for every request. Confirm what the employee asked for, whether the balance supports it, who will cover the work, and whether you're the final approver. Consistent checks make decisions easier to explain when a busy week forces you to choose between competing dates.
- Confirm the dates and duration. Read Dates, Leave type, and Days together. A date range can include non-working days, so the charge may differ from the number of calendar dates.
- Review the balance. Have the employee confirm their available figure with
/pto balancein Slack orbalancein their private Teams chat. Pending requests are already reserved against that figure, even though nobody has approved them yet. - Check coverage. Open the team vacation calendar, select the department, and review the requested dates. Include the person covering the work and any work that requires a specific skill or permission. Read the handoff note rather than assuming a named coworker has agreed.
- Record a clear decision. Choose Approve when the request is ready. For a denial that needs an explanation, open the request in Cabana and enter the reason there. Confirm whether another approval step follows yours.
Agree on a response window with your team so employees know when to expect a decision. That's a management commitment, not a promise that software will decide a request within a particular time.
Handle manager PTO approvals when someone is out¶
Set your approval coverage before your own leave starts. Cabana checks whether the normal approver is on approved full-day leave and sends the request to an available delegate or up the reporting line, then to an available admin. Requests already waiting are checked for rerouting every hour.
Choose a Coverage contact in the web request form when you want someone specific to cover your approvals. If that person is a manager or admin, the form offers a checkbox to send your approvals to them while you're out.
The covering approver can receive an explanation such as “Sent to you because Jane Doe is out through Nov 3.” This changes who handles the decision; it doesn't mean a coworker has accepted the absent employee's project work.
If no replacement is available, the request stays with the usual approver. Keep the manager assignments on Team current so the routing follows your actual reporting line. See when an approver is out for the details.
Know what happens in each approval scenario¶
Use this table when a request takes a different path from the usual manager decision. The important distinction is between recording your step and finishing the request. A denial closes the request, while an approval may send it onward if the configured chain needs another person's decision.
| Scenario | What Cabana does | Manager's next action |
|---|---|---|
| Normal approver is on approved full-day leave | Routes to an available delegate, manager up the reporting line, or admin. | Review the request and coverage before deciding. |
| Request has another approval level | Records the current step, then routes the next step. | Let the employee know that final approval is still pending if they ask. |
| You want to deny with a specific reason | Web denial accepts an explanation; chat buttons use “Denied from Slack.” or “Denied from Microsoft Teams.” | Choose Open in Cabana and enter your reason. |
| Employee requests a half day | Web requests can charge 0.5 days when allowed; the request can still reach the approver in chat. | Check the request detail for morning or afternoon coverage. |
| Approver is away for only part of the day | Half-day or hourly leave doesn't trigger all-day away routing. | Handle the request during the part of the day you're available. |
| Someone tries an already-decided request | The request's status and approval checks prevent another valid decision. | Read the recorded outcome instead of using an old notification. |
Use email approvals when that's where you're working¶
Choose Approve or Deny in the notification email when you want to record the decision without signing in. Each action link is tied to that request and action. The same approval sequence applies, so an email approval can complete your step without completing a longer chain.
Email Deny records “Denied from email.” Use the web request page for a specific explanation, just as you would from a chat message.
Keep approval emails with the intended approver: anyone holding the action link can use it. For handing off a decision, use Cabana's approval routing rather than forwarding the email. The one-click email approvals guide explains the link behavior.
Tell employees what your decision means¶
Make final approval the signal employees can rely on. Once every required step is approved, Cabana sends the employee a decision message, moves reserved days into used leave, and puts the approved dates on the team calendar. A manager's first-step approval alone doesn't publish a completed absence.
An approved Teams notice says Your Vacation request (2026-11-05 – 2026-11-06) has been approved. Slack delivers the equivalent notice with its message formatting. A denial includes the recorded reason, and the reserved days return to the employee's available balance.
Channel announcements follow their own schedule. The employee's name appears in Out today or Monday digest for the relevant dates when those posts are enabled; clicking Approve doesn't immediately announce future PTO to a channel.

Frequently asked questions
Can I approve PTO from Slack without opening Cabana?
Yes. Choose **Approve** on the request DM to record your assigned approval step. The message shows the employee, leave type, dates, day count, and any note. Use **Open in Cabana** when you need additional context. If another approval level follows yours, the request stays pending until that step is complete.
Can I approve time off in Teams?
Yes. Cabana sends the assigned approver a card with **Approve**, **Deny**, and **Open in Cabana** in their personal Teams chat. Choose **Approve** to record your step. Employees and managers should add Cabana and open their private chat during setup so the bot can deliver future request and decision messages there.
Can I write a denial reason inside the chat card?
No. The chat **Deny** action records a fixed platform reason: “Denied from Slack.” or “Denied from Microsoft Teams.” To explain a coverage conflict or suggest different dates, choose **Open in Cabana** and deny from the web request page with your reason. The employee's denial notification includes that recorded explanation.
Can a half-day request still be approved from chat?
Yes. An employee can submit a half-day request through Cabana's web form and the assigned approver can decide it from Slack or Teams. The current chat request forms don't include a half-day selector. Review the web request detail to see whether the employee is taking the morning or afternoon.
