The formula
For each leave type, in each year:
What each part means
| Component | Where it comes from |
|---|---|
| Entitled | The base allowance granted by the policy for the year. |
| Accrued | Days earned so far under the accrual method. |
| Carried over | Unused days brought forward from last year, after any cap. |
| Adjustments | Manual corrections by an admin. Can be positive or negative. |
| Used | Days on approved requests. |
| Pending | Days reserved by requests still awaiting a decision. |
Why pending days are subtracted
The moment you submit a request, its days are reserved. They're not used yet — nobody has approved anything — but they're spoken for. Subtracting them means the available figure is the number you can actually still book, not an optimistic one that ignores a request already in flight.
If the request is denied or canceled, the reservation is released and the days return.
Reading the history
Every change to a balance is recorded as its own entry — the opening balance, each grant, each accrual, carryover in, carryover expiry, adjustments, reservations, releases, and leave used or restored. When a number looks wrong, the history shows which movement caused it.
